Job Duties and Responsibilities
Trip Reservation
- Frequently check the Online reservation system for requests for transportation.
- Receive and record client requests for transportation through the phone system or Transport Officers/Drivers, this includes same day transportation requests.
- Ensure that each transportation request through the online system or phone is complete by cross checking that all information has been provided by the client according to company policy.
- Liaise with third party payers, as necessary, to verify and ensure the insurance coverage status for the trip requested by each individual client, and obtain any pre-approvals necessary before the trip.
- Complete the trip reservation log for each trip reservation, documenting updates to the log whenever changes occur.
Service Coordination
- Assign transportation requests to drivers by completing the human resource calendar and preparing a monthly, weekly , and daily schedule for each driver.
- Liaise with drivers and clients providing monthly, weekly, daily updates and debriefing on progress or changes to transportation schedules assigned to each driver.
- In collaboration with transportation officers/drivers work out acceptable solutions to prevent unforeseen problems including no shows, cancellations, and delays.
- Provide daily passenger manifest, adequate vehicle log sheets, and other required documentation to each driver before the start of the shift.
- Allocate the most appropriate vehicle to each driver, taking into consideration client needs and requirements, for each shift and schedule.
Customer Service and Communication
- Place follow-up calls to each client to confirm trip requests , collect additional information, and any relevant update at least 24 hours before the trip and before the start of the shift to which the requested trip is assigned.
- Liaise with clients and transport officers/drivers to ensure that same day requests for transportation can be effectively accommodated.
- Politely answer the phone and provide service and company related information to assist clients in making informed decisions, including successfully completing trip requests.
- Provide immediate solutions to client complaints and concerns, escalating to higher management whenever impossible to do so, or when it involves driver behavior or attitude.
- Liaise with transport officers/drivers to ensure that they abide by all vehicle inspection, fueling, and maintenance schedules provided by vehicle manufacturer or repair shop.
Vehicle Repairs and Maintenance Coordination
- In collaboration with transport officers/drivers,schedule all vehicle repair and maintenance appointments.
- Liaise with vehicle repair and maintenance shop and transport officers/drivers to ensure that repair and maintenance schedules for vehicles are properly planned and implemented to prevent a disruption of service to clients.
- Liaise with mechanics to ensure that repair and maintenance work is completed in a timely manner and vehicles are released to transport officers/drivers as scheduled.
- Confirm availability and verify fitness for use of each vehicle released by the repair shop and schedule each vehicle to a shift, as appropriate.
- Whenever possible, assist drivers in transporting vehicles for maintenance or to resume services.
Documentation and Record Keeping
- Collected copies of all completed daily passenger manifests, vehicle log sheets, and any other documentation from drivers /transport officers for completed trips.
- Properly file all completed documentation received from transport officers/drivers or repair shops.
- Prepare a daily summary of information provided on all documents received from transport officers to support billing and accounts payable.
- Properly file copies of all repair and maintenance and fueling paperwork, including receipts.
Management and Supervision
- Provide general supervision for transport officers/drivers,contracted repair shops, and fueling contracts as applicable.
- In collaboration with drivers, review and verify all billing by repair shop for repairs and maintenance work completed before submitting to accounts payable for payment.
- Manage petty cash for vehicle fueling and minor repairs, including properly accounting for the use of such funds.
- Monitor the implementation and billing for all fueling contracts with gas stations, as appropriate, by reviewing and reconciling billing information with locally maintained fueling log sheets before submitting to accounts payable for payment.
Qualifications and experience
- one(1) year experience in patient transportation preferred. However, Compassion North America can train.
- Good computer skills including Microsoft Excel and Word.
- Record keeping experience such as working as a clerk or bookkeeper, preferred.
- Customer service experience preferred.
- At least High School Diploma or associate degree preferred.
- Appropriate written and verbal communication skills.
- Criminal and dependent abuse background check required.
- Respect for confidentiality to protect patient information.
- Friendly and helpful disposition.
